Facilitating Immigration Processes for Strategic Employees

Challenge
In January 2023, a tech company based in Bangalore, India, secured a key contract
to collaborate with a major research lab in Germany. To lead this three-year
strategic project, the company decided to relocate its R&D Director to Germany.
However, they faced several administrative hurdles:

  • German regulations require precise and thorough documentation for work
    visas, with tight submission deadlines.
  • The director wanted to relocate with his wife and two children, necessitating
    additional procedures for family reunification.
  • The company lacked local expertise to navigate the complex residence permit
system and ensure full compliance with German laws.

These challenges risked delays, threatening the timely launch of the project.

Solution
Through proactive and meticulous management:

  • The R&D Director’s work visa was issued ahead of schedule, three weeks earlier
    than expected.
  • His wife and children simultaneously received their visas to join him in
    Germany.
  • A premium-quality residence in Munich was secured before their arrival, and
the children were enrolled in an international English-speaking school.

The R&D Director commenced his mission on time, enabling the company to meet
its contractual obligations with the German research lab. The family transitioned
seamlessly, and the company strengthened its reputation as a reliable international
partner.

Intervention
MobilityPartners was engaged to oversee the entire immigration process. The
following steps were implemented:

  1. Initial Analysis and Tailored Strategy:
    • After a consultation with the company, a roadmap was created to prioritise
the required documents and optimise the timeline.
    • Special attention was given to specific German visa requirements, including
proof of employment contracts, salary, and housing arrangements.
  2. Document Coordination:
    • MobilityPartners collaborated with the company and the employee to gather
all necessary documents, including translated and notarised academic
certificates, signed contracts, and financial proofs.
    • German local authorities were contacted proactively to avoid administrative
      bottlenecks.
  3. Compliance Audit:
    • A detailed audit of the employment contract was conducted to ensure
compliance with German regulations, particularly regarding the minimum
      salary for highly skilled visas.
    • The bilateral social security agreement between India and Germany was
leveraged to maintain the employee within the Indian system while meeting
      German obligations.
  4. Family Reunification Support:
    • Specific steps were taken to secure visas for the employee’s wife and
children, including proof of schooling arrangements for the children
and sufficient income to support the family.
    • A local agency was coordinated with to secure a family-friendly residence
      close to the workplace.
  5. Ongoing Support:
    • MobilityPartners maintained contact with the German embassy in India to
      expedite visa approvals.
    • Regular updates were provided to the company to ensure transparency
      throughout the process.
